A custom system is software developed specifically for one organisation. It brings together data and processes that would otherwise be scattered across spreadsheets, emails, paper and several unconnected programs, and turns them into one clear, automated flow.
When off-the-shelf software is not enough
Ready-made solutions are a good start, but there comes a moment when they start holding the business back. Typical signs are:
- employees manually copy the same data between several programs;
- important processes are “maintained” in an Excel file only one person understands;
- you pay monthly licences for dozens of users and features you don’t use;
- the program doesn’t support what is specific to your industry – and the vendor has no plans to add it;
- you can’t get a report you need without manual processing;
- your data sits with a third-party provider, with no control over where it is stored and who has access.
If you recognise at least two of these symptoms, a custom system will most likely pay for itself faster than you expect.
Examples of custom systems we build
Order and production management
Receiving orders from different channels, assigning them to workshops and machines, tracking every stage, calculating cost and automatically notifying the customer.
Warehouse and logistics
Real-time stock by warehouse and location, barcode and QR scanning, batches and expiry dates, stocktaking with a mobile device, courier integration.
Staff and scheduling
Shifts, leave, attendance, tasks, evaluations, internal requests and approvals – with mobile access for employees.
Document management
Templates for contracts, quotes and protocols, electronic signing, versions, access rights, full-text search and an archive.
Customer and partner portals
A place where your customers track orders, download invoices, submit requests and communicate with your team – without endless phone calls and emails.
Reports and management dashboards
KPI dashboards showing sales, productivity, costs and risks in real time – available on phone, tablet or computer.
Modular architecture
We build custom systems from separate modules that communicate through clearly defined interfaces. This means you can start with one or two modules – for example orders and warehouse – and add new ones when the business needs them. Each module can be developed, tested and updated on its own without stopping the rest.
What it costs and how it pays off
A custom system is a one-off investment in development, followed by support under contract. There is no per-user fee – whether the system is used by 5 or 500 people, the price stays the same. For most of our clients the investment pays off through time saved, fewer mistakes and licences for other software that are no longer needed.
Before we start, we calculate the expected return together – how many hours a month you will save, which costs disappear and which new opportunities open up.
Rollout without stopping the business
Launching a new system is a change for the people who work with it. That is why we plan the rollout carefully: we migrate the existing data, run in parallel with the old tools for a short period, train users in small groups and are available for every question in the first weeks.
What the service includes
Modules as needed
Start with what matters most and add modules as the business grows.
Roles and permissions
Every employee sees and does only what their job requires.
Real-time reports
Dashboards and reports on every metric, export to Excel and PDF.
Integrations
Accounting, online store, couriers, banks, fiscal devices, APIs.
Mobile access
Responsive interface and, if needed, a mobile app for field work.
Security and audit
Activity log, two-factor login, encryption, backups.
How the work is done
- 1
Process audit
We observe how work is done today and find where time and data are lost.
- 2
System design
Modules, roles, data, integrations, stages and budget.
- 3
First module
The most valuable module is launched first so it delivers value immediately.
- 4
Data migration
We move the data from spreadsheets and old programs without losses.
- 5
Training and rollout
We train the users and stay by their side in the first weeks.

Frequently asked questions
Is a custom system more expensive than off-the-shelf software?
Initially – usually yes. In the long run it is often cheaper, because there are no monthly per-user fees and manual operations disappear. We calculate the return on investment in advance.
Can we move the data from our current program?
Yes. We migrate data from Excel, Access, old databases and most popular programs that allow export.
What happens if our business changes?
The modular architecture allows the system to be changed and extended. New features are added under a development contract.
Where is the data stored?
Your choice – in our data centres in Bulgaria, on your own server or in a cloud of your choice. The data always remains yours.
Does the system work without the internet?
If needed, we build an offline mode for the mobile apps – data is synchronised when a connection is available.
